POSITION SUMMARY :  Under the supervision of the Program Manager, the Engagement Specialist Supervisor is responsible for the support and supervision and management of direct service staff and site program. The Engagement Specialist Supervisor will provide day-to-day supervision, leadership, and guidance of the direct service staff and management of budget, scheduling, training, and performance evaluations. In conjunction with other program leadership and staff, the Engagement Specialist Supervisor’s task is to maintain a safe and caring therapeutic environment for vulnerable young people in residence while coordinating program systems and working towards agency and contractual outcomes for the program. The position requires strong organizational, supervisory, delegation, and administrative skills, as well as the ability to be flexible while managing staff through crisis situations.

ESSENTIAL DUTIES:

  • Hire, coach, evaluate, and supervise staff.
  • Conduct and provide feedback on Performance Evaluations for all direct reports.
  • Oversee programming.
  • Manage fiscal responsibilities; develop and oversee program budgets, as well as approve and reconcile credit card purchases monthly.
  • Meet agency/program regulations and contract obligations while building on program deliverables to ensure services align with best practices.
  • Responsible for data collection accuracy, timeliness, and security, including ensuring all staff are completing current and accurate documentation
  • Responsible for communication of contract deliverables and pathways of execution.
  • Develop and facilitate training to support staff capacity; ensure staff complete all required trainings and maintain necessary certifications
  • Update and maintain a program operation manual
  • Prepare timely and accurate reports, as needed
  • Work across teams and departments to implement new programming, policies and processes
  • Collaborate with Program Manager to steer programming toward best practices
  • Comply with the agency’s mandated reporting requirement and report suspected abuse, neglect, or sexual exploitation of minors within the required timeframe.
  • Implement PQI and accreditation policies and procedures
  • Manage a team of Engagement Specialists (staff).
  • Assign tasks and delegate action steps to Engagement Specialists to support client achievement of goals.
  • Management of program operations ensuring a safe, supportive, and healthy environment for residents and staff.
  • Manage discipline process for staff if performance challenges arise.
  • Delegate implementation of service plan goals to staff.
  • Manage and approve staff with development and implementation of individual and group programming.
  • Manage and maintain staff coverage, schedules, leaves, and vacations in conjunction with the full Over-18 Leadership Team.
  • Manage and maintain best practices in milieu settings, financial management to contract requirements, approve spending, and staff accountability.
  • Conduct and provide feedback on Performance Evaluations for all direct reports.
  • Manage reporting, team documentation, and program financial responsibilities and submissions for audit and other compliance related requirements.
  • Working closely with the Program Manager to assist with compiling monthly reports and program budget.
  • Monitor and manage house activities including use of kitchen and laundry facilities.  Ensure the overall cleanliness and safety of the facility by assigning weekly chores to residents.
  • Determine and collect monthly resident program fees, ensuring correct tracking and documentation is completed. Reimburse residents with deposits / reimbursements when they leave the program in compliance with program rules and expectations.
  • Assess and manage crisis situations and/or find coverage for emergency shift needs as the on-call manager for the Young Adult Housing Department. Create and manage monthly on call rotation calendar for on call schedules. Cover emergency shifts as needed.
  • Serve as leadership model to Engagement Specialists “TIE” to young adults in residence.
  • Ensure all direct service staff duties are maintained and provide direction, support, problem solving, and disciplinary action as needed.
  • Ensure the facility is maintained in a safe, clean, and orderly fashion. Promptly report needs for facility repair through the facilities reporting system while verifying need of request
  • Maintaining and tracking usage and spending of program funds including but not limited to:
    • credit cards
    • gift cards
    • receipts for outings,
    • Client assistance
    • Bus tickets
    • Safeway
    • Costco
  • Inventorying, Monitoring and Purchasing of supplies.
  • Supervision of budget and delegation of weekly grocery shopping and programming items.
  • Maintain accurate program records including the supervision of the daily staff log and program progress notes.
  • Responsible for taking emergency and staffing calls as needed and holding on-call hours, including answering and responding to emergency program calls and providing on-site coverage .
